Administrative Systems

    Current Status Critical Needs Long Range Goals
         
1 Client/Server: effectiveness and efficiency of administrative systems are under review and plans are in place to migrate legacy systems to, or interface them with, client/server distributed systems. POISE legacy systems are currently on the central administrative VAX utilizing a combination of traditional data entry and batch processing with selected on line access to information. Phase I: Implement the BSR advance College Relations System. Phase II-IV: Select and implement new software packages for Admissions, Student Information, Fiscal, Human Resources Continue to update and enhance legacy systems to meet the legal and operational requirements of the College; discontinue VAX-based uses by 2000-01
         
2 Data entry: accounting procedures minimize data reentry and maximize appropriate and secure access to up-to-date information Currently capture and validate some data at the source but still use a "paper trail" for much of the data input Capture and validate data once at source; integrate systems to eliminate redundant data entry (e.g., time card data) Automated data entry using barcode and scan technology
         
3 Decision support: institutional data are accessible to support strategic decisions at every level of management Operational and some tactical information is available from batch reports and some on-line formats. All operational and tactical information available from on-line formats. Strategic information available in on-line formats
         
4 Year 2000: all administrative systems are configured to handle data and operations that include year 2000 calculations New administrative systems funded based on FAST recommendations; will eliminate year 2000 problem Avoid year 2000 costs completely by moving all remaining administrative systems to new platform in advance of 2000 Reliance on modular program code to ensure flexibility for future changes
         
5 Student access: students have easy access to their own records - transcripts, grades, demographics, scheduling, advising, financial aid information, account balances. No student access to current administrative information. Student access to their own schedule, transcripts, degree audit, financial aid, and accounting information. Student access to web-based college demographic information for evaluation of their progress in relation to others
         
6 Employee access: employees have access to personal information On-line phone book and electronic job postings on Kenyon web site Access to personal evaluation, payroll deduction and year-to-date information. Web-based information resources for general and personal employee information
         
7 Secure transfers: efficient and secure linkages to outside services exist Magnetic tapes delivered to bank for direct deposit. Staff access information on the Internet for evaluation of potential donors. Electronic funds transmission for payroll deposits and vendor payments. Link to vendors for purchase orders. On-line student applications and test scores Personalized and private detail billing for student, families, staff
